Export Transaction & Customer Data from Lightspeed

Step-by-step instructions for data export from Lightspeed when transitioning to Workstand POS.

Export Recommendations

  • This is a small segment of the data that can be exported from Lightspeed and some of this data can be imported into Workstand.
  • We recommend downloading any additional reports that may be useful for accounting, records, and sales/marketing purposes, including the following:

Export Customer List

  • Exporting your customers from your existing POS and importing that data into Workstand helps you smoothly migrate to the new POS.
  • This lets you retain and access customer contact information, helping to sell and market to your existing customers.
  • Customer name, email, phone, and whether they're opted-in to email can all be imported into Workstand.
  • The Lightspeed export is titled customer_listings_customers and includes the following columns:

    • Click on "Customers" in the left-side navigation in Lightspeed.
    • Click on the "Customers" tile.
    • Click "Export".

Export Daily Sales Totals Report

  • Export a report of your sales totals for each day of the selected period.
  • The Lightspeed export is titled reports_sales_charts_sales and includes the following columns:

Date | Sales Count | Subtotal | Discounts | Total | Cost | Profit | Margin

    • Click on "Reports" in the left-side navigation in Lightspeed.
    • Under the "Sales & Refunds" heading click on "Sales Over Time".
    • Set your desired date range.
    • Leave "Total", "Day", and "Sum" selected.
    • Click"Advanced", and make sure all employees, tax classes, locations, registers, and customer types are included.
      • Alternatively export separate exports for each location.
    • Click "Search". 
    • When the results load, click "Export".

Export All Sales Report

  • Export a report of each sale during a period.
  • The Lightspeed export is titled reports_sales_listings_transactions and includes the following columns:

ID | Subtotal | Fees | Discounts | Tax | Total Tax | Total | Tips | Cost | Profit | Margin | Date | Customer | Source

    • Click on "Reports" in the left-side navigation in Lightspeed.
    • Under the "Sales & Refunds" heading click on "Totals".
    • Set your desired date range.
    • Click"Advanced" and make sure all employees, tax classes, registers, and customer types are included.
    • Click"Search". 
    • When the results load, click "Export".

Export All Sales Lines Report

  • Export a list of every sale line item over whatever period you choose.
    • We recommend the past three calendar years.
  • The Lightspeed export is titled reports_sales_listings_transaction_line and includes the following columns:

ID | Date | Description | Qty | Retail | Subtotal | Discount | Tax | Customer | Source

    • Click on "Reports" in the left-side navigation in Lightspeed.
    • Under the "Sales & Refunds" heading click on "Lines".
    • Set your desired date range.
    • Click "Advanced" and make sure all categories, brands, both Items and Charges, all employees, tax classes, price rules, locations, registers, and line types are included.
    • Click "Search". 
    • When the results load, click "Export".

Export All Transactions Report

  • Export a report of all payment lines including refunds and voids.
  • The Lightspeed export is titled reports_sales_listings_raw_transactions and includes the following columns:

ID | Completed | Cancelled | Voided | Total | Date | Register | Shop | Employee | Customer | Source

    • Click on "Reports" in the left-side navigation in Lightspeed.
    • Under the "Other Transaction" heading click on "All Transactions".
    • Set your desired date range.
    • Click "Advanced" and make sure all "All Employees", "All Registers", and "All Locations" are selected.
    • Click "Search". 
    • When the results load, click "Export".

Export Work Orders

  • Export a report of all your work orders.
    • This report will include customer information, work order status, a description of the bike, and the serial number if applicable.
  • The Lightspeed export is titled workbench_listings_workorders and includes the following columns:

ID | Customer | Item | Hook In, Out | Shop | Status | Date In | Due On | Days Overdue | Tasks | Hours | Total

    • Click on "Service" in the left-side navigation in Lightspeed.
    • Click on the "Work Orders" tile.
    • Set the date range so that all of your work orders are included.
    • Make sure the "Advanced" search options are visible.
    • Select "Show Archived" if you wish to export archived work orders.
    • Set "Employee" to "All Employees".
    • Set "Show Status" to "[Show All]".
    • Set "Hide Status" to "None".
    • Set "Shop" to"All Shops".
      • Alternately, create separate exports for each location.
    • Click "Search".
    • When the results load, click "Export".
  • Work order and sale receipt notes are not exported.
  • Work order internal notes (if enabled) are included on the report of all Sales Lines in the column Work Order Internal Note.
  • This same report will include all of the lines on these work orders.
  • Serial numbers are included in this report if a customer has a serialized item saved to their customer record in Lightspeed, and if this product was selected from the Customer Item dropdown when the work order was created.

Export Serial Numbers

  • Export a list of every serialized item, each serial number entered, and customer information if the serialized item is on a sale or work order.
  • The Lightspeed export is titled item_listings_item_serial_search and includes the following columns:

Item | Qty. | Color | Size | Serial | Customer | Sale ID

    • Click on "Inventory" in the left-side navigation in Lightspeed.
    • Click on the "Serial Numbers" tile.
    • Click "Export".

Export Gift Card Numbers & Balances

  • Export a list of gift cards, with the number and current balance.
  • These cannot be imported into Workstand but should be kept for your reference.
  • You will want to update the balances in this report as customers redeem their gift cards.
  • Gift cards can be redeemed by adding the balance the customer wants to redeem to their Store Credit.
  • Gift Card can also be added as a custom in-store payment type if you find that you are redeeming these older cards frequently.
  • The Lightspeed export is titled gift_card_export and includes the following columns:

Frequently Asked Questions

Can I import customer transaction history into Workstand?

  • No.
  • We recommend exporting all transactions and sales you may need access to from Lightspeed and saving this information for future reference.

Can I import work orders from Lightspeed into Workstand?

  • No.
  • Sales and work orders are formatted differently between the two systems, and cannot be imported into Workstand.
  • We recommend exporting all work orders you may need access to from Lightspeed and saving this sheet for future reference.

Can I import customer products and serial numbers into Workstand?

  • No.
  • We recommend exporting serial number information from your existing POS and saving it for your reference.
  • Workstand does not yet support serialized products, so when you sell a serialized product we recommend adding a custom line item to the sale with the serial number in the name.
    • This will save the serial number to the customer's sales record and allow you to print or email a receipt that includes the serial number.

Can I import gift card numbers and balances into Workstand?

  • No.
  • Workstand does not support gift cards at this time.
  • We recommend exporting and saving your gift card numbers and balances from Lightspeed.
  • Redeeming gift cards can be handled by issuing store credit and then using that to complete payment.
  • You will want to track any gift card redemptions in the sheet of exported balances.
